Getting Started with ChampCOX

Everything you need to know before creating your first tournament

Welcome to ChampCOX! This application helps you manage rowing tournaments from start to finish - all stored safely on your device. No internet connection is required after the first visit, and all your tournament data stays private on your computer or tablet. This guide will walk you through each step in simple terms, even if you're not familiar with technology.

What You Need to Know Before Starting

  1. 1This app works entirely in your web browser - no installation needed. Just visit the website and start using it.
  2. 2All your tournament data is saved on your device (not on the internet), so you can work offline anytime.
  3. 3You can use this on a computer, tablet, or phone - it works on all devices.
  4. 4Your data stays on the device you're using. If you need to switch devices, you'll need to export and import your tournament data.
  5. 5It's recommended to use a computer or tablet with a large screen for the best experience when managing tournaments.

Step 1: Create Your Tournament

Start by setting up basic tournament information

The first step is to create a new tournament. Think of this as creating a folder where all your event information will be stored. You'll enter basic details like the tournament name, dates, and location. Don't worry - you can always edit these details later if something changes.

How to Create a New Tournament

  1. 1Click the 'View Tournaments' button at the top right of the screen. This takes you to your list of tournaments.
  2. 2Look for the 'Create New Tournament' button (usually a blue button) and click it.
  3. 3Fill in the tournament name - for example, 'National Rowing Championship 2026'.
  4. 4Enter the start date by clicking on the calendar icons. Click on the date to select it.
  5. 5Type the venue or location where the tournament will take place - like 'Thames River, London'.
  6. 6Enter the name of the 'President of Jury'.
  7. 7Enter the name of the 'Competition Director'.
  8. 8Choose the race length: for example 2000m .
  9. 9Click the 'Create' button at the bottom to create your tournament.

Helpful Tip

Give your tournament a clear, descriptive name that includes the year. This makes it easy to find later when you have multiple tournaments.

Step 2: Select Rowing Events

Choose which boat types and categories will compete

After creating your tournament, you need to select which rowing events (types of races) will be part of it. Rowing events are organized by boat type (like Single Scull or Eight), category (Open, Junior, etc.), and gender (Men, Women, Mixed). The app makes it easy to select exactly the events you need for your tournament.

How to Select Events for Your Tournament

  1. 1After creating a tournament click 'Enter' to enter the tournament and click on 'Next' to reach event selection page
  2. 2First, select a Category from the dropdown - like 'Open', 'Junior', 'Challenger', etc.
  3. 3Next, select a Gender - Men, Women, Boys, Girls, or Mixed.
  4. 4You'll see buttons for different boat types (Single Scull, Pair, Four, Eight, etc.). Click on each boat type you want to include.
  5. 5Selected events will appear in a table below showing the event code, boat type, and number of lanes needed.
  6. 6If you need to change the number of lanes for an event, type the new number in the 'Lanes' column.
  7. 7When you're done selecting all events, click the 'Confirm & Next' button at the bottom.

Common Boat Types Explained

Single Scull (1X) = 1 person, Pair (2-) = 2 people, Four (4-/4+) = 4 people, Eight (8+) = 8 people plus coxswain. The 'X' means sculling (two oars per person), '-' means sweep rowing without cox, '+' means with coxswain.

Step 3: Register Associations (Teams/Clubs)

Select which clubs or teams will participate in each event

Associations are the rowing clubs, schools, or teams that will compete in your tournament. In this step, you'll select which associations are participating in which events. For example, if you have 5 clubs and 3 events, you'll mark which clubs are entering which events by clicking checkboxes in a table.

How to Register Associations for Events

  1. 1Click on 'Associations' in the left menu to open the registration page.
  2. 2You'll see a list of associations name with checkboxes to select associations participating in the tournament.
  3. 3Click on a checkbox to select the associations.
  4. 4You'll see a table with events listed down the left side and association names across the top.
  5. 5Click on a checkbox where an event row and association column meet to register that association for that event.
  6. 6Use the checkbox at the top beside association name to quickly select all events for one association.
  7. 7Use the checkbox on the left beside events name to select all associations for one event.
  8. 8The table will show counts at the bottom showing how many associations are registered for each event.
  9. 9When you're finished, click the 'Next' button at the top right to continue.
  10. 10You'll see an event association summary page where all events participating in all the associations selected will be shown in table format with ticks and can be exported to excel
  11. 11Click next for Participants Registration

Quick Selection Tip

If most associations are participating in most events, use 'Select All' first, then uncheck only the boxes you don't need. This is faster than clicking each box individually.

Step 4: Enter Participant Details

Add the names and details of athletes competing in each event

Now it's time to enter the actual participants (athletes) who will be rowing in each event. For each association and event combination, you'll enter the team members' names and their rowing positions. The app will guide you through each event one at a time, making it easy to enter all the information without getting confused.

How to Enter Participant Information

  1. 1Click on 'Participants' in the left menu to see a list of all associations.
  2. 2Each association will show a status: 'Pending' (not started), 'Partially Completed' (some events done), or 'Completed' (all events done).
  3. 3Click on the 'Enter Team Information' button to start entering participants.
  4. 4A dialog will open showing the first event. You'll see empty slots for team members (the number depends on boat type).
  5. 5For each position, Enter the player full name, Select the gender if it is mixed event, Enter the RFI ID Number (Rowing Federation ID) and Enter weight of the player.
  6. 6After completing one event, click 'Next' to move to the next event automatically.
  7. 7Continue until all events are completed.
  8. 8After entering all the participants details click 'Next' to enter Manager,Coach or Reserve Player details.
  9. 9Coach or Reserve Player or Manager can be added using the '+' button at right bottom.
  10. 10Click the 'Finish' button to finish all the participants registrations for an association.
  11. 11Click the 'Next' button at the top after completing all the registrations to go to the summary page.
  12. 12Here all the details about an association their players name ,events name and manager name will be shown in table format that can be exported to excel
  13. 13Click the 'Next' button to go to the seeding page.

Understanding Positions

Each seat in the boat is numbered. Position 1 is usually the seat closest to the bow (front), and the highest number is near the stern (back). The coxswain, if required, sits separately and steers the boat.

Step 5: Configure Seeding (Optional)

Give priority placement to top teams from previous tournaments

Seeding is optional but helps if you want to give certain teams advantageous positions based on past performance. You can assign Gold, Silver, and Bronze seeds to teams that performed well in previous events. Seeded teams typically get better lane assignments or favorable heat placements to ensure competitive finals.

How to Configure Seeding

  1. 1Click on 'Seeding' in the left menu (this step is optional).
  2. 2For each event, you'll see dropdown menus for Gold Seed, Silver Seed, and Bronze Seed.
  3. 3Select the association (team) that should get each seed based on their previous performance.
  4. 4Gold seed typically goes to the defending champion or top-ranked team.
  5. 5Silver and Bronze go to second and third place teams from previous events.
  6. 6These seeds will affect how teams are placed in heats and which lanes they get.
  7. 7If you don't want to use seeding, you can skip this step entirely - the app will distribute teams fairly automatically.

Step 6: Generate Start Lists (Heats & Schedule)

Create the racing schedule with heat assignments and start times

A start list shows which teams race in which heats (preliminary rounds) and which lane they're assigned to. The app automatically generates fair heats based on the number of participants and lanes available. You can also set start times for each heat so everyone knows when to race.

How to Generate and Manage Start Lists

  1. 1Click on 'Start List' in the left menu to open the start list page.
  2. 2Click the 'Generate Start List' button.
  3. 3Enter the start time of the event.
  4. 4The app will automatically create heats and assign teams to lanes based on fair distribution.
  5. 5You'll see a table showing Serial Number, Time, Event, Lane number, and Team names for each heat.
  6. 6To set start times, look for the 'Start Time' column and click to enter the time when that heat will begin.
  7. 7You can rearrange teams between heats if needed by using drag and drop (click and hold on a team, then move it).
  8. 8To view or print the start list, look for a 'Download PDF' or 'View PDF' button at the top.
  9. 9The start list can be shared with teams or posted at the venue so everyone knows their heat and lane.

Use the PDF export button to create printable start lists for posting at the venue or distributing to teams.

Step 7: Track Live Progression (During Tournament)

Record race results and track advancement through rounds

During the actual tournament, use the Live Progression feature to record results as races finish. Enter finishing positions or times for each lane, and the app will automatically determine which teams advance to the next round (semifinals, finals, etc.) based on the progression rules.

How to Use Live Progression Tracking

  1. 1During the tournament, click on 'Live Progression' or 'Track Results' in the menu.
  2. 2Select the event you want to update from the list.
  3. 3You'll see the current round (Heats, Repechage, Semifinals, or Finals) and all matches in that round.
  4. 4For each completed race, click on it to open the results entry form.
  5. 5Enter the finishing position (1st, 2nd, 3rd, etc.) or time for each lane/team.
  6. 6Click 'Save Results' and the app will automatically show which teams qualify for the next round.
  7. 7Teams that qualify will move forward; others may go to repechage (a second-chance round) or be eliminated.
  8. 8Continue updating results for each race until the finals are complete.

Step 8: View Summary & Reports

Review complete tournament results and export final reports

After all races are complete, you can view a comprehensive summary of the entire tournament. This includes final standings, all race results, participant lists, and medal counts. You can also generate PDF reports to share with participants, officials, or for tournament records.

How to View and Export Tournament Summary

  1. 1Click on 'Summary' in the left menu to see the complete tournament overview.
  2. 2You'll see sections for each event showing final results, medal winners, and all heat results.
  3. 3To view participant details, click on 'Participants Summary' to see all athletes who competed.
  4. 4Use the 'Export' or 'Download PDF' buttons to generate printable reports.
  5. 5You can export individual event results or the complete tournament summary.
  6. 6These reports can be printed for official records or shared digitally with teams.
  7. 7All data is still saved on your device, so you can come back anytime to review past tournaments.
